How we handle the data you send us — with the plain-English version up front.
Who we are
Orbit is operated by Orbit Network Intelligence Limited (“Orbit”, “we”, “us”, “our”), a company registered in England and Wales. You can reach us at support@orbitconnect.co.
Orbit Network Intelligence Limited (company number 17323543) is a data controller registered with the Information Commissioner’s Office under registration reference ZC202830. Our service address is 71-75 Shelton Street, Covent Garden, London, WC2H 9JQ.
How your data flows, in plain English
You export your LinkedIn connections and send them to us with your Brief. We run them through the Orbit scoring model, using secure third-party tools including Anthropic’s Claude, to build your Orbit Map, your Orbit Tracker, and your Orbit Method. We deliver your Report to you, and then we delete the raw data. We never sell it, and we never reuse it for anyone else.
B1. Who we are and our role
B1.1 For the Connections Data and Brief you upload, you are the controller and we are your processor, acting on your instructions, in respect of the preparation and delivery of your Report.
B1.2 We extract and retain anonymised, aggregated data derived from Connections Data across our client base (for example, statistical trends in scoring distributions or seniority mix) (“Orbit Data”). We own Orbit Data and act as an independent data controller in respect of it. We use Orbit Data to improve our methodology and to produce benchmarking insights for clients and prospective clients. Aggregation is carried out so that no individual, connection, or client can be identified from the resulting dataset.
B1.3 For our own data (website visitors, enquiries, marketing contacts, and your account and order details), we are the data controller.
B2. What we collect
B2.1 Information you give us: your name, email, business details, and your Brief.
B2.2 The Connections Data you upload.
B2.3 Payment and transaction information. Card details are processed and stored by our payment provider, Stripe; we hold transaction records (amount, date, invoice reference) but not full card numbers.
B2.4 Orbit Data, as described in B1.2, which we own and control independently.
B2.5 Website and usage data, as set out in our Cookie Notice.
B2.6 We will not use your Connections Data for marketing purposes, except to the extent that any element of that Connections Data was already known to us independently as at the date of your order, or subsequently becomes known to us independently after your order.
B3. Our legal bases
B3.1 To provide the service and take payment: performance of our contract with you.
B3.2 To send you marketing: your consent, given through the optional box at checkout, which you can withdraw at any time.
B3.3 To keep basic business records and protect our systems: our own legitimate interests.
B3.4 To create and use Orbit Data: our legitimate interests in improving our service and producing benchmarking insights, balanced against the fact that Orbit Data is anonymised and aggregated so no individual, connection, or client can be identified.
B4. Your connections’ data
B4.1 The people in your Connections Data are the data subjects. We process this data to produce your Report, on your instructions, as your processor. We never sell your connection data.
B4.2 We extract and retain Orbit Data from Connections Data as described in B1.2.
B5. Third parties and sub-processors
B5.1 We use trusted third parties to deliver the service, including the AI assistant Claude, specifically the Claude Sonnet 5 model (provided by Anthropic), for analysis, Stripe for payment processing, Supabase for secure data storage, database and serverless processing, Postmark for transactional email, Netlify for website hosting, and Initials Marketing Limited, which manages the Orbit website and platform, including ongoing builds, amends and maintenance. These act as our sub-processors. A current list is kept in Schedule 1 (Data Processing Terms) to our Terms and Conditions.
B5.1.1 Processing locations for our principal sub-processors are: Anthropic (United States), Stripe (United States, with an EU processing entity in Ireland), Supabase (our specific project data is hosted in the EU, Frankfurt region), Postmark (United States), Netlify (United States, global content delivery network), and Initials Marketing Limited (United Kingdom).
B5.2 Sometimes Orbit will need to share your personal data with third parties and suppliers outside of the United Kingdom. Based on our current sub-processors, this means the United States (Anthropic, Stripe, Postmark and Netlify) and the European Union (Supabase, hosted in Frankfurt, Germany). Where this is the case, we have procedures in place to ensure that your personal data receives the same level of protection as if it were being processed inside of the UK, using the UK Addendum to the EU Standard Contractual Clauses (or the UK International Data Transfer Agreement) as appropriate. Where local law applicable to you requires additional safeguards for a transfer out of your own country, we will put these in place before processing your data. If you have any questions about how we protect your data outside the UK, please contact us at support@orbitconnect.co.
B6. How long we keep it
B6.1 We delete raw Connections Data and Briefs from our own systems within days of your Report being delivered. We keep basic order and payment records for six years where we need to for tax and legal reasons.
B6.2 Any copy of your Connections Data submitted to our AI analysis sub-processor, Anthropic, using their Claude Sonnet 5 model, is deleted from their systems within 30 days of submission, under Anthropic’s own standard retention practice. We are unable to compel earlier deletion from Anthropic’s systems once submitted. We rely on Anthropic’s published terms and conditions in respect of this retention and deletion commitment, which currently state that submitted data is deleted within 30 days of submission. If Anthropic’s stated practice changes, we will update this policy to reflect it.
B7. Your rights
B7.1 You have the right to access your data, correct it, have it deleted, restrict or object to its use, and ask for a copy in a portable form. To exercise any of these, contact us at support@orbitconnect.co. We aim to respond within one month.
B8. Cookies
B8.1 How we use cookies is set out in our separate Cookie Notice.
B9. Complaints
B9.1 If you have a concern about how we’ve handled your personal data, please contact us first at support@orbitconnect.co so we can try to resolve it directly.
B9.2 We’ll acknowledge your complaint and aim to respond with the outcome within one month.
B9.3 If you’re not satisfied with our response, or you’d prefer not to raise it with us first, you can complain to the Information Commissioner’s Office at ico.org.uk.
